Changing or cancelling a booking: check the consequences first

Prepare a clear amendment enquiry and distinguish evaluating an option from authorising it.

A supplier postpones cargo readiness, the customer changes quantity or the warehouse needs another loading day. Before asking someone to “move the booking”, describe the change and request an assessment of its consequences.

An amendment can affect price, vessel space, equipment, inland transport and documents at the same time. This guide structures the decision; it does not establish a universal free amendment allowance or cancellation deadline.

Define the requested change

Record the booking reference and latest confirmed version. Show current and requested details together. If reducing container quantity, specify the units or part of the order concerned.

Changing cargo readiness is not necessarily the same as changing the sailing. Ask whether the existing plan can accommodate it. A different delivery address may leave the port unchanged while still requiring an inland review.

Provide facts with dates and sources. “It probably has not sailed” is not an operational status on which someone can assess an alternative.

Request the whole option cost

Ask separately about amendment or cancellation charges, transport repricing and consequences for other services. Include the truck order, collected equipment, storage, extra handling, documents and empty return.

Maersk Spot terms illustrate that amendment acceptance, repricing, cancellation and no-show are distinct issues. Treat this as one product's example. Establish the relevant rules and deadlines from your booking documents.

Keep unanswered amounts open instead of treating them as zero. Assign an owner and response deadline. For time-dependent costs, obtain the tariff, boundary events and expected dates before calculating an amount.

Separate enquiry from instruction

State that you are evaluating availability, price and conditions and have not yet authorised execution. Also check whether the chosen form or channel executes a change immediately. Calling an email a quotation request does not alter a system button's function.

Once the answer arrives, approve a defined scope and agreed price or cost limit through the authorised decision-maker. Write conditional approval explicitly. Do not leave two active bookings without the order owner's knowledge.

A partial-change example

Suppose two containers were ordered, but only one will be ready. “Move the booking” does not explain whether both should move or one should travel as planned.

Describe the option: retain one on the existing sailing and seek another date for the second. Ask the carrier to assess partial cancellation or splitting under the available product, including costs and documents. Do not decide the operational label before receiving its answer.

After approval, check both confirmations and the total container quantity. This can reveal a new booking added without reducing the original one.

Close the change with execution evidence

Save the revised confirmation or cancellation confirmation and resulting instructions. Give the warehouse and haulier the updated dates, equipment collection location and document deadlines.

Check SI, VGM and document drafts where affected. An automated acknowledgement of your message does not prove execution. Closure requires consistent booking, equipment and service-order status.
