Rate valid until month end: which date determines the price?

“Valid until the end of the month” does not establish whether your shipment qualifies for a freight rate. You need the event to which that date applies. Sending a request or submitting a booking before midnight may not satisfy the quotation's conditions.

Before passing the price to a customer, connect validity to a defined event, transport leg and schedule version. Keep this separate from space, equipment and document deadlines.

Identify the product and its documents

Record the quote reference, issue date, product or contract type and applicable terms. Do not assume spot and contract products from the same carrier work identically.

As a product-specific example, Hapag-Lloyd's Quick Quotes guidance distinguishes quotation validity from possible surcharge changes. This is not a rule for every quotation. Obtain an answer tied to your own reference.

Keep the rate confirmation with its attachments. A screenshot of one amount without route, equipment and conditions will not resolve a later disagreement.

Ask about an event as well as a date

The following are questions to investigate, not universal tariff rules. The applicable document must establish which event matters.

Ask for the cut-off time and time zone where relevant. A date written without a time convention can produce avoidable confusion between offices in different locations.

A fictional month-end example

For training only, assume a quote expires on 30 September, the booking was confirmed on 27 September, the original departure was 30 September and an update now shows 2 October. These dates alone do not determine the applicable price.

Ask whether the governing condition refers to confirmation, the original schedule, the latest plan or an actual event. Record whether the carrier changed the plan or the customer requested an amendment, then ask how that distinction is treated.

Retain both schedule versions and the provider's written answer before changing the price record. This makes the eventual invoice easier to verify without reconstructing the entire correspondence.

Check the base rate and extras separately

“Is the price fixed?” should identify the specific items concerned. Check the base freight, surcharges, inland transport and services ordered later. Add the currency conversion rule where relevant.

Do not promise an unchanged total when the confirmation covers only part of the service. Show confirmed components alongside items still awaiting a price or dependent on an event.

Recheck the operation after a change

Review the sailing, equipment, route, cargo-ready date and SI, VGM and terminal acceptance deadlines. These are separate operational arrangements. Rate validity does not prove that the warehouse can load on time or that the booking has been accepted.

If the old quotation no longer matches the plan, request a new version and ask whether the existing booking remains active. Establish whether an alternative enquiry is non-binding before creating another commitment merely to see a price.
